Booking Conditions
‘White Rabbit Racing’ or ‘WRR’ is a trading name of White Rabbit Racing Limited (Company Number 06468244) whose registered office is at 92 Bickley Street, London, SW17 9NE. Any reference to ‘we’, ‘us’ and ‘our’ in these booking conditions is to White Rabbit Racing Limited. The following terms and conditions show our commitments to each other and form your contract with us. Your contract will be governed by English law.
Information and prices
As far as we are aware, all information is correct at the time of publication. If there are any significant changes or we find any mistakes, we will advise you of the latest information as soon as reasonably possible afterwards (Please see the section headed ‘Facilities’). Please check our website regularly for updates and special offers.
Booking and paying for your trip
You will have to pay the full cost upon making a booking. You must be 18 or over at the time of booking. If you book by telephone, on the website, by email or facsimile you will be deemed to have read and accepted these terms and conditions and the general information pages contained on our website. We reserve the right to refuse any booking. Once you have booked, a contract will exist between us. Our contract is binding on you and all members of your party including children. It is your responsibility to ensure that you and all members of your party are aware of and accept the whole of our contract and the obligations contained in it. Bookings are not transferable to another party without our consent, and only at face value or less, and the transferee must notify us in writing that they accept these terms and conditions.
Cancellation
Once made, bookings will be non-refundable save in cases of complete event cancellation, in which case we will endeavour to provide refunds subject to costs and charges already incurred and not recoverable by us.
Facilities
Sometimes facilities described on the website may be withdrawn at our discretion for reasons such as unavailability from suppliers, maintenance or bad weather. If we are aware in advance that a significant number of facilities advertised as being available will not be available we will use our reasonable endeavours to pass any cost-savings on to you, or, at our discretion, provide other services.
Special requests / needs
Special requests must be indicated to us at the time of booking however are not guaranteed. In some cases an extra charge may be payable to facilitate a special request. Any customer with restricted mobility or disabilities should discuss their requirements at the time of booking. Whilst we will use reasonable endeavours to accommodate such needs, the nature of our campsites means that this is not always possible and they cannot be guaranteed unless we confirm this to you in writing.
Passports, Visas and Insurance
On all foreign trips you are responsible for arranging, and must be in possession of, a valid passport, any visas required, and suitable travel and motor insurance for the whole of your journey. Any information about these matters is given in good faith but without responsibility on our part.
Your responsibility
We want all our members to have an enjoyable trip but you must remember that you are responsible for your actions and the effect they may have on others. You must abide by rules issued by us on site, take reasonable care in pitching your tent and take precautions for your own safety. You must comply with all requirements notified and reasonable instructions given in respect of any aspect of your booking. This includes information supplied pre-trip and whilst on site, in particular in respect of use of facilities and amenities provided at any time during your trip. The speed limit on all our sites is 5mph. This includes bicycles and any other wheeled conveyances. Drivers must hold a licence and have tax, insurance and MOT as appropriate. You are responsible for the supervision of all members of your party under the age of 18. You must supervise your children and babies at all times. If we (or another person in authority) believe your actions or those of the other members of your party could upset others or put them in danger, or damage property, we may eject you from the camp. It may also mean that we will not accept a future booking from you. If this happens we will not pay compensation or meet any expenses you incur as a result.
Our liability to you
We accept responsibility if any of the services we agree to provide as part of our contract are not of a reasonable standard. We accept responsibility for the negligent acts of our employees, agents, suppliers and sub-contractors, whilst carrying out work on our behalf exclusively as part of your contract with us, including where death, injury or illness results. However, we will not accept responsibility for any circumstances listed under the heading ‘Changes for reasons beyond our control’ or failures which are either attributable to you or to a third party unconnected with our contract. Whilst we endeavour to provide suitable security at all our sites, we cannot be responsible for the security of you or your possessions and you should take all reasonable precautions in that respect. In all cases (other than death or personal injury), the most we will have to pay if we are found liable on any basis is the price you paid for the trip.
Changes for reasons beyond our control
Some changes are necessary because of unusual and unforeseeable circumstances which neither we nor our suppliers could avoid, even with all due care. These circumstances include industrial disputes, closure or congestion of ports or airports, road blockades, unavoidable technical transport problems, war, civil unrest, terrorist activity, natural or nuclear disaster, epidemic or disease, adverse weather conditions or similar events.
Data Protection and your Privacy
To process your booking we need to collect certain information from you. These details include, where applicable, name, address and age of party members, credit/debit card or other payment details, special requirements relating to disability or medical conditions which may affect your arrangements. We take full responsibility for ensuring the security of these details. Information may be provided to security or credit checking companies, public authorities (such as customs/immigration) if required by them by law.
Marketing
It is our policy not to trade your data with other organisations. Your information will be kept on file and may be used to send you details of future offers. If you have a complaint
If you have any reason to complain, you must complain as soon as possible to the relevant person (for example, the site manager or security staff) who will do everything reasonably possible to resolve the problem. If you are not satisfied with how your complaint was dealt with, please write to us within 28 days of returning home.
